Annual Conference FAQs

Question:

Is there a discount if we bring a group from our organization?

Answer:

Yes, if you bring three or more people from your organization, each person receives a $100 discount on the registration fee.  Everyone must be registered at the same time to receive the discount automatically, but if that is not possible, the discount can be applied manually later.  Contact us at 877-289-0004 if you have questions.

Question:

What are the transportation options from the airport to the Omni Nashville Hotel?

Answer:

The Omni is located 15 minutes from the Nashville International Airport. The hotel does not provide shuttle service, but there is a downtown shuttle available from the airport that is approximately $20 per person.  Taxis are available for a flat rate of $25.00 to the downtown area, plus an additional passenger charge of $1.00 when accompanying original passenger and proceeding to same destination.  Valet parking is available at the hotel for $30 overnight, and self-parking is available at the adjacent Music City Center for $18 per day.

Question:

Is there a special conference rate at the Omni Nashville Hotel? How do I reserve a hotel room?

Answer:

A special conference rate of $245 is available until February 27, 2017 or until rooms are no longer available. To make your reservations, you may call the hotel directly at 1-800-THE-OMNI and tell them you are with the SWPP Annual Conference to make your reservations.  There is always limited availability at downtown hotels in Nashville, so please make your hotel reservations as soon as possible.

Question:

Do I need a rental car?

Answer:

If you take a taxi or a shuttle to the Omni Nashville Hotel, you will not need a rental car.  SWPP will provide transportation to the evening event on Tuesday night.

Question:

Is WiFi available during the conference?

Answer:

Yes, we will have WiFi in the conference area.

Question:

Where are the meeting rooms located in the Nashville Omni Hotel?

Answer:

The SWPP conference meeting rooms are located on the second and third floors of the hotel.

Question:

What is the dress code for the conference?

Answer:

The dress code for the conference is business casual.  Dress for the evening event is casual.

Question:

Do I need to register for specific workshop sessions prior to the conference?

Answer:

You do not need to register for any of the workshops prior to the conference EXCEPT for the pre-conference session, which is available at an additional fee.

Question:

Will the session materials be available prior to the conference?

Answer:

Yes, the session materials for each workshop will be posted on the SWPP website so that you can download the materials before you arrive at the conference.  The session materials will also be available on our conference mobile app that can be downloaded prior to the conference.

What if I have special dietary needs?

Answer:

If you have special dietary needs, please send an e-mail with those requirements to Vicki Herrell at vicki.herrell@swpp.org.  She will work with the hotel to ensure you are taken care of.

Question:

Can I bring a guest to the Tuesday evening event?

Answer:

Yes, you can bring a guest to the evening event for a fee of $60 that includes transportation, drinks, dinner, and entertainment.  This fee can be paid at on-site registration via cash, check, or credit card.

Question:

Is there an opportunity for community service at the conference?

Answer:

Yes!  We are excited to sponsor a service project for attendees during the conference for the second year.  We will be putting together fleece blankets that will be donated to the Tennessee Department of Children’s Services for children displaced from their homes.  It is a very easy project – no sewing, only cutting with scissors and tying knots!  You can work on a blanket whenever you have any free time, and others can continue until all the blankets are complete.  Specific instructions will be available at the station set up for this project near the registration desk.  We appreciate any help you can give – this blanket may be the only thing that these children have to comfort them in a time of upheaval.

Attendees may bring toiletries to donate to these children as well.  Travel-sized toiletries would be best, and all types are needed, including shampoo, conditioner, deodorant, shower gel, toothbrushes, toothpaste, etc…
